Privacy Policy
Teton Auto Group CFO (the "Application") is an internal financial-reporting tool operated by Hart Capital LLC on behalf of Teton Auto Group Holdings and its subsidiaries (together, "we", "us"). The Application is not offered to the public. It is used only by the owners, officers, and designated staff of the businesses whose QuickBooks Online company files it connects to.
1. What the Application does
The Application connects to QuickBooks Online through Intuit's authorized API and reads accounting data from company files that an authorized administrator has explicitly connected. It uses that data to produce internal management reports (weekly flash reports, ledger reviews, monthly and quarterly financial packages) for the owners and managers of those businesses.
2. Data we access
With the com.intuit.quickbooks.accounting scope, the Application reads the following from each connected company file: chart of accounts; customers, vendors, items, classes and departments; sales, purchase, payment, deposit, transfer and journal transactions; and standard financial reports (profit and loss, balance sheet, cash flow, trial balance, aged receivables and payables, general ledger). The Application does not access payroll detail, bank credentials, or payment-card data. The Application never writes to, modifies, or deletes anything in QuickBooks Online.
3. How we use it
- To compute and present financial reports for the connected businesses.
- To run internal consistency checks on the books (for example, unreconciled items, duplicate bills, unmapped accounts).
- To generate written commentary on report results using an AI language model (see Section 5).
We do not use the data for advertising, do not sell it, and do not share it with any third party except the service providers listed in Section 5.
4. Storage and retention
Data is stored in a private database hosted in the United States, accessible only to the Application and its administrators. OAuth tokens are encrypted at rest. Transaction and report data are retained for as long as the business relationship continues so that historical reports can be reproduced; when a company file is disconnected, its tokens are revoked immediately and its data may be retained only for internal record-keeping.
5. Service providers
- Intuit — source of the accounting data, via QuickBooks Online.
- Hosting and database provider — United States-based infrastructure for the Application and its database.
- Anthropic — the Application sends aggregated, computed report figures (totals, variances, aging summaries, test results) to the Claude API to draft report commentary. Raw transactions, customer or vendor identities, credentials and tokens are not sent. Anthropic's commercial API terms do not permit use of this data to train models.
- Google (Gmail) and Dropbox — delivery and archiving of finished reports to the owners' own accounts.
6. Security
Access to QuickBooks Online is granted only through Intuit's OAuth 2.0 flow by a company administrator and can be revoked at any time from the QuickBooks "Apps" page or by contacting us. Secrets are held in a managed secrets store, not in source code. Database access is restricted to the Application host. All connections use TLS.
7. Disconnecting
An administrator of a connected company file may disconnect the Application at any time from QuickBooks Online (Apps → My Apps → Disconnect) or by emailing us. Disconnection revokes the Application's tokens for that file immediately.
8. Children
The Application is a business tool and is not directed at, and does not knowingly collect information from, anyone under 18.
9. Changes
We may update this policy; the effective date above will change when we do. Continued use of the Application after a change means the updated policy applies.
